Accounts Payable Specialist

JOB SUMMARY:

Louisville Presbyterian Theological Seminary is looking for an experienced accounting professional to join our team. Reporting to the Controller, The Accounts Payable Specialist will own the entire Accounts Payable function including but not limited to processing of invoices, payments, expense reports and employee reimbursements. The Accounts Payable Specialist will also train employees on the systems and processes for payments/reimbursements and will help develop new processes to ensure compliance with Seminary policies. This role is critical to developing streamlined procedures for overall efficiency and using analytical tools to identify opportunities for improvement and/or enhancement of existing policies. The Accounts Payable Specialist will ensure collection of W-9's and applicable updates to vendor 1099 information.

KEY RESPONSIBILITIES:

  • Ensure that all invoices have proper documentation, approval, and eligibility prior to posting
  • Ensure that all supporting documentation is made available to the authorized check signors/ Approvers at the time of signature or approval
  • Ensure payments are made within the proper terms
  • Manage the monthly closing process for Accounts Payable
  • Assist and train employees on the proper handling and coding of invoices for accurate recording of transactions
  • Ensure employer identification numbers or social security numbers have been collected for all vendors required to prepare and submit 1099s.
  • Assist with the annual 1099 reporting requirements
  • Ensure the proper maintenance, filing, and storage of records in accordance with the Seminary’s record retention policy
  • Communicate and encourage adherence of accounts payable/reimbursement policies to Seminary and provide training, where necessary
  • Provide support for cash flow forecasting
  • Establish and provide timely reporting for Accounts Payable Key Performance Indicators
  • Utilize analytics to identify trends for process improvement or enhancement of existing policies
  • Assist with daily administrative tasks
  • Other duties as assigned

POSITION QUALIFICATIONS, SKILLS & CHARACTERISTICS:

  • Commitment to the mission, values and success of Louisville Seminary
  • Bachelor's or Associates degree in accounting, and/or equivalent work experience in finance or accounting roles
  • Minimum of 5 years total accounting experience with at least 2+ years relevant non-profit accounting experience with a preference in higher education
  • Understanding of the accounts payable functions of the Seminary
  • Proficient in accounting software (Great Plains, Sage Intacct), the Microsoft Office suite of products and ebill payment products preferred
  • Attention to detail and accuracy; timeline oriented
  • Solid communication skills, both written and verbal
  • Personal qualities of integrity and collegiality
  • Ability to effectively prioritize and schedule tasks
  • Ability to handle sensitive information with confidentiality, professionalism and discretion.
  • Ability to promote and maintain a positive work environment
  • Demonstrated ability to work collaboratively with persons from diverse racial, cultural and religious backgrounds
  • Ability to look for innovative solutions that promote efficiency for both time and cost; understanding that ministry is our primary focus of church staff

COMPENSATION:

Full-time, non-exempt position offering a full range of benefits, including 403B pension benefit, and health insurance.
