Administrative Coordinator - Black Church Studies (BCS) and Life-Long Learning (LLL)

Pay: $21.00 - $25.00 per hour

Position Summary

The Administrative Coordinator provides professional, strategic, and operational support to both the Director of Black Church Studies and Director of Life-Long Learning. This position ensures the effective coordination of program operations, communications, and event management for both the Black Church Studies Program (BCS) and the Seminary's Life-Long Learning (LLL) initiatives. The Coordinator helps advance the Seminary's mission to equip leaders for transformative ministry through academic programs, continuing education, and community-based learning that serves seminarians, clergy, and partner congregations.

Core Responsibilities

  1. Administrative and Program Support
    • Provide administrative assistance including scheduling, correspondence, calendar management, and travel logistics.
    • Maintain confidential program, student, and participant files.
    • Serve as the primary administrative contact for BCS and LLL inquiries.
    • Coordinate with Admissions, Registrar, Communications, Finance, and other departments.
    • Prepare financial reports, invoices, check requests, and track program budgets for both BCS and LLL.
    • Maintain separate databases, mailing lists, and records for BCS and LLL students, alumni, and community partners.
  2. Event Planning and Logistics
    • With the BCS and LLL Teams, Plan and manage logistics for BCS and LLL events such as the annual BCS Consultation, lectures, workshops, clergy retreats, and certificate intensives.
    • Manage registration, venue arrangements, catering, audiovisual needs, and on-site hospitality in partnership with facilities and the events coordinator.
    • Produce event materials (agendas, nametags, participant packets) and coordinate post-event follow-up.
    • Support occasional evening and weekend programming as required and available.
  3. Communications and Marketing
    • Partner with the Communications Office to design and distribute newsletters, announcements, flyers, and online content highlighting BCS and LLL events.
    • Maintain website pages and social-media presence for both programs.
    • Assist with storytelling, data collection, and impact reporting for internal and external audiences.
  4. Student and Participant Engagement
    • Support BCS concentration and certificate students as well as Life-Long Learning participants through registration assistance, orientation materials, and ongoing communication.
    • Maintain participant and alumni contact lists; issue certificates of completion when appropriate.
    • Collaborate with Admissions and community partners on recruitment and outreach efforts.
  5. Program Assessment and Continuous Improvement
    • With other appropriate seminary offices, track program metrics, event evaluations, and attendance data for BCS and LLL.
    • Compile reports for internal assessment, accreditation, and grant requirements.
    • Recommend and implement administrative process improvements to enhance efficiency and participant experience.

Key Qualifications

  • Education: Bachelor's degree preferred; equivalent relevant administrative or program coordination experience will be considered.
  • Experience: Minimum of three years in an administrative support, project coordination, or program management role, preferably within higher education, nonprofit, theological, or faith-based work.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel); comfort with budgeting tools, expense tracking, and financial reconciliation; familiarity with virtual meeting platforms (e.g., Zoom), online registration systems, and database management.
  • Communication Skills: Excellent written and verbal communication skills; ability to draft professional correspondence, meeting minutes, newsletters, event materials, and summary reports.
  • Organizational Skills: Strong attention to detail; ability to manage multiple timelines, events, and priorities in a fast-paced, mission-driven environment.
  • Interpersonal Skills: Demonstrated ability to work collaboratively, exercise discretion and professionalism, and engage respectfully and sensitively with students, faculty, and Black Church communities.
  • Cultural and Contextual Awareness: Understanding of and respect for religious leadership, Black Church traditions, and the diversity of expressions within Black Church life and leadership.
  • Adaptability: Ability to work both independently and as part of a team; comfort with evolving responsibilities and emerging institutional needs.

Preferred Attributes

  • Familiarity with Black Church Studies and Life-Long Learning programming in theological education.
  • Budgeting/fiscal management experience including documentation, compliance, and reporting.
  • Experience with event planning and community-engagement programming.
  • Knowledge of Louisville Presbyterian Theological Seminary, its mission, and its commitment to inclusive and life-long theological education.
  • Awareness of or connection to Black Church networks and clergy leadership development within the Louisville or broader regional context.
