Administrative Coordinator to the CFO

Louisville Seminary is seeking a high-functioning, competent, mature individual to perform secretarial and administrative assistance to the Vice President, COO and CFO and accounting assistance to the Controller.   • Bachelor's degree in business administration or the equivalent preferred; minimum of five years of office experience working for an executive-level administrator. Two years of accounting experience.
  • Type a minimum of 65 wpm; experienced in Word, Excel, PowerPoint, Adobe Acrobat, Microsoft Great Plains, Crystal Reports, CAMS.
  • Ability to transcribe dictation; good grammar, punctuation and spelling.
  • Professional telephone and communication skills appropriate for use with diverse constituents, including seminary employees, students, members of the Board of Trustees, external consultants, and the public at large.
  • Ability to assign priorities to wide variety of tasks from several sources in consultation with Vice President/COO/CFO.
  • Receptive to changing responsibilities and new challenges. Ability to show initiative, mature judgment, dependability and reliability.
  • Detail oriented; good organizational skills.


  • Manages correspondence including initiating the composition and/or transcription of letters, reports, etc., for the Vice President/COO/CFO, and the President as requested.
  • Prepares and monitors mail ballots and various mailings to Board of Trustees; assists in preparation of the Vice President’s Executive and Finance Committee packets for the spring and fall Board of Trustee meetings. Assists with meeting logistics and Committees’ needs.
  • Transcribes minutes of regular and temporary committees to which the Vice President/COO/CFO is assigned, including the Executive Committee of the Board of Trustees, the Audit Committee of the Board of Trustees, the Finance and Administration Committee of the Board of Trustees, Compensation, Admissions Cabinet, and special task force committees. Periodically transcribes minutes of various extra-curricular committees.
  • Manages all endowment investment files, collects data from fund managers’ websites regarding capital calls/distributions
  • Maintains Vice President/COO/CFO’s monthly investment endowment spreadsheets, and corresponds with the Seminary’s investment advisors as directed.
  • Maintains tracking log and circulates information regarding stock or property donations to the Seminary.
  • Completes annually the Seminary’s insurance renewal applications and gathers all needed documentation to accompany the applications.
  • Maintains lease agreements and contact information of tenants residing at the Burnamwood property in Richmond, Kentucky. Sends information packets and corresponds with future tenants. Also corresponds with the Burnamwood property manager when necessary.
  • Process housing allowance requests from ordained faculty.
  • Coordinates TIAA/CREF seminars for participating employees.
  • Updates the Employee Handbook; provides updated policies and procedures information for Faculty and Student Handbooks.
  • Updates and maintains the Seminary flowchart and distributes copies appropriately.
  • Updates and maintains the Emergency Notification System database.
  • Maintains tracking logs of staff/administrative/faculty performance evaluations, seminary’s legal expenses, Vice President/COO/CFO’s direct reports’ vacation/sick/personal time.
  • Updates and maintains the Business Office Procedure Manual.
  • Opens and sorts incoming mail, answers routine mail, maintains calendar and schedules appointments and meetings for Vice President/COO/CFO; screens telephone calls when requested; sets up conference calls; processes check requests and invoices; establishes and maintains filing system including record storage; coordinates travel schedule and makes travel reservations; duplicates material on copier and assembles mailings; faxes and arranges mailing information; other normal office duties.
  • Coordinates Furlough Home Board meetings and luncheons in conjunction with the Furlough Home Moderator.
  • Maintains proper confidentiality of all materials.

  • Performs daily cash position reconciliation.
  • Performs month end Accounts Payable and Payroll bank reconciliations.
  • Enters cash deposits into the General Ledger.
  • Researches outstanding checks, requesting stop payment and/or reissue if appropriate.
  • Processes student payments for tuition and/or rent, and review check requests through CAMS.
  • Files monthly transient tax returns with the Kentucky Revenue Commission and Louisville Metro Revenue Commission.
  • Reconciles monthly company credit card payments of both AMEX & Mastercard for all departments with accurate documentation for processing.
